MemberDex counts active members + pending invites only. Deactivated members, archived contacts, and lapsed records don't count against your tier. Most AMS platforms bill on total contacts — every dormant record, every "we'll re-engage them someday" — and that bill grows even as engagement shrinks. Ours doesn't.

Onboarding

Free onboarding — and a few things the big incumbents don't tell you.

Standard onboarding is included with every plan. No fee, no upsell call to start, no "book a sales rep" gate. Same as the big AMS marketing pitches — and then a few things they leave out.

  • You talk to the founder, not a CSM playbook. One person owns your onboarding from kickoff to first invite batch. Reply directly to that thread for the life of your account.
  • Workspace live within one business day. Branding configured, fields set, admin invited. We don't make you wait a week for a "kickoff slot."
  • First invite batch out in your first session. Real members in the directory by the end of the call, not "we'll get to that next week."
  • Heavy lift? Optional white-glove migration — $200, or free with an annual plan. Pulls members from a CSV, Google Sheet, PDF roster, or legacy AMS export. Maps custom fields. Sanity-checks every row before commit.
  • 14-day trial on request. Real workspace, no card, no countdown clock haranguing you. Keep going if it fits; walk away clean if it doesn't.

Money questions, answered.

Is there a setup fee?
No. Standard provisioning, branding configuration, and getting your first invites out are all on us. If you'd like us to handle the heavier lift — bulk data migration from a spreadsheet or legacy directory, custom field design, and a hands-on onboarding session — that's our optional $200 white-glove onboarding, and it's free with a one-year commitment.
Can I try MemberDex first?
Yes. A 14-day trial is available on requestjust ask. We'll spin up a real workspace, walk you through the admin dashboard, and let you invite a handful of members so you can see how it actually behaves. No card required for the trial; we only bill if you decide to keep going.
What's included in white-glove onboarding?
A named onboarding session, member-data migration from your existing source (CSV, Google Sheets, prior directory tool, scraped PDF), custom-field design, branding setup, and a follow-up check-in once your community is live. $200 one-time, or free when you commit to an annual plan.
What counts as a "member"?
Active member profiles in your directory plus invited-but-not-yet-accepted invitations. Soft-deactivated members are not counted. Admin accounts are members too if they appear in the directory; they don't count separately.
When am I billed?
Subscription billing starts when we activate your subscription (typically right after onboarding) and renews on the same calendar day each period. You'll always have an invoice in your customer portal. White-glove onboarding, if you choose it, is invoiced separately at kickoff.
How do quarterly and annual discounts work?
Pay every three months and we apply 5% off; pay annually and we apply 10% off. The discount is applied to the recurring price. Annual commitment also waives the optional white-glove onboarding fee.
What's the referral discount?
If you refer another community that subscribes, you both get an additional 5% off your recurring invoice for as long as both communities remain active. Only one referral discount applies per community — it doesn't stack with itself, but it does stack on top of quarterly or annual savings.
Can I downgrade or upgrade?
Yes. Move between any of the six self-serve plans at any time. Upgrades take effect immediately; downgrades require you to be under the new plan's member limit. Stripe pro-rates the change. Moving to or from Enterprise is handled by our team.
What's the Enterprise tier for?
Enterprise is for larger business groups (400+ members), multi-chapter networks, or organizations with procurement / compliance requirements. Annual contract or MSA, invoice / ACH billing, a written SLA, a named onboarding lead, white-glove migration included, priority support, and DPA + Standard Contractual Clauses. Pricing is custom — talk to sales.
Do you offer refunds?
If you cancel within 30 days of activation and tell us why, we'll refund the most recent subscription payment. White-glove onboarding, once delivered, is non-refundable.
How are taxes handled?
All listed prices are pre-tax USD. Stripe applies sales tax or VAT where required by the billing address on your account. Your invoices break out the tax line clearly.
Do you accept ACH or bank transfers?
Standard plans run on credit/debit card via Stripe. ACH and invoice billing are included by default on Enterprise; for larger or annual commitments on standard plans we can arrange invoiced bank transfer — just ask.
Where do members get the iOS app?
From the App Store. Download MemberDex or search "MemberDex" on iPhone. After install they tap their invite link to pair to your community.

What about Android members?
A native Android app is in active development. We're not committing to a release date — we'd rather ship it right than miss a target. Until it lands, admins can manage everything from any modern web browser, and you're welcome to join the Android update list so we can tell you the moment it ships.
What happens if I exceed my member limit?
We hold the limit firmly: new invites and additions are blocked with a clear "MEMBER_LIMIT_REACHED" message until you upgrade or remove members. Existing members remain unaffected.
